Before You Approve That Proof, Check These Details (Includes Free Download)

You receive a design proof, give it a quick glance, and everything looks great. You reply with “Approved!” and move on with your day.


But did you check the phone number? What about the event date, website address, or QR code?


A proof is your final opportunity to review a project before it moves into production. Whether you are ordering business cards, banners, signs, apparel, stickers, or marketing materials, taking a few extra minutes to carefully review your proof can prevent delays and costly reprints.


Start With the Written Details

Read every word carefully, even if you originally supplied the text. Check names, spelling, punctuation, dates, times, prices, phone numbers, email addresses, website links, and social media handles.


It can also help to read the text aloud. Your brain sometimes fills in missing words or overlooks mistakes when you already know what the sentence is supposed to say.


Review the Design and Layout

Next, look at the overall design. Make sure all requested text, images, and logos are included. Check the placement, alignment, spacing, size, and orientation.


This is also a good time to confirm that you are reviewing the most recent version of the proof, especially if the design has gone through several rounds of revisions.


Test Every QR Code and Link

Never assume that a QR code works simply because it appears on the design. Scan it with another device and confirm that it opens the correct page.


Carefully review written website addresses as well. A single incorrect letter can send customers to the wrong place or prevent the link from working altogether.


Confirm the Production Details

Proofing is not limited to the artwork. Confirm the final dimensions, quantity, product or material, colors, finish, and pickup or shipping information.


For apparel, check the garment style, color, sizes, design placement, and quantities. For printed materials, verify the paper or sign material and any finishing options.


Ask Someone Else to Look

When possible, ask another person to review the proof before you approve it. A fresh set of eyes may notice something you have overlooked, especially after you have spent a lot of time working on the project.


Once a proof is approved, the project moves into production based on the information shown. A careful final review protects your investment and helps the production process move smoothly.
